SE5 Forum for Camberwell Administrator Job Description


To support the work of the SE5 Forum board and act as central information gathering point for all board members. To support the communications of the SE5 Forum including website and newsletters
To liaise with suppliers as required
To liaise with the chair and with other SE5 Forum board members as required

1.Board Meetings – oversee organisation of monthly board meetings (first Wednesday of the month from 7pm to 9pm)
This includes:
• Working closely with committee members to draw up meeting agendas
• Take meeting minutes and generate action point document, update activity log
• Circulating meeting agendas, minutes and other papers
• Maintain attendance record

2.Public meetings (e.g. Annual General Meeting and Christmas party in December)
• Help with event organisation
• Printing and photocopying / filing
• Assisting with project monitoring

3.Accounts – liaise with and assist Treasurer as required

4.Maintain SE5 Forum Diary

5.Membership – oversight and administration of membership database (Google Drive and Mailchimp)

6.Database – maintain and access data as required

7.Emails: Incoming emails responding/forwarding to others, reminders and board emails circulations

8. Maintain website and post on website and social media as required

9.Liaise with suppliers

10. General secretarial work as required.

Relevant experience, e.g. working with a voluntary organisation, Understanding/experience of the
Workings of local authorities/ agencies
Website maintenance, Experience of Mailchimp

Contractor status
Paid on an hourly rate at £12 per hour
Hours are not guaranteed, or fixed, but are typically 20 hours, and occasionally up to 40 per calendar month

SE5 Forum for Camberwell Administrator Skills Required

The objective of this document is to provide an overview of the kind of tasks that the administrator should be confident to undertake with each of the relevant technologies. It is intended as an illustration, rather than an exhaustive list. It is our intention to provide a full handover with the present incumbent.

Google Docs and Google Drive
• Periodically to review and amend the filing structure to reflect current needs
• Able to manage and make recommendations for access rights to documents and folders
• File key paperwork such as board papers, purchases, insurance documents to the correct folders

WordPress (website)
• Encourage people to post events on web calendar (e.g. providing a link), post events / make sure key events are included on the calendar
• Post news on web news page. Manual guidance will be provided. Share events on Social media
• Update home page banners occasionally. This involves image resizing (photoshop)
• Update Board members on website (once per year or as needed). Photoshop will be needed

• Create attractive mailing pieces using templates
• Some copy-writing, editorial skills required. eg creating compelling email headers, prioritizing content so that a call to action is clear
• Administer the database of current contacts, and use this for mailing
• Handle email gone-aways, and requests to be removed from the mailing list promptly

Event photography
• Take photographs to document events using mobile phone or camera
• To edit the images prior to publication, eg cropping, straightening, removal of red eye using XXX or other software
• To make decisions about appropriate file size for different use of images
